The Benefits of Hosted Software

Hosted software, also known as on-demand software or software as a service, is ideally suited for small and medium sized companies (SMEs) with small IT staffs as it centralises the tasks of maintaining and updating the applications while spreading the costs over a broad user base.

The concept of hosted software is simple and while it has been around for a while under a different guise it is only now coming into its own with the advances in web technology and the spread of high speed broadband.

Originally only large companies outsourced their IT systems as they found that they could negotiate fixed cost contracts thereby managing costs while at the same time handing over the problems of recruiting and maintaining IT staff to an organisation that specialised in that area. The set-ups were generally mainframe based and required large memory and bespoke communication infrastructures. But they tended to work well because the systems that were outsourced were large and complex and more often than not had a global reach…but at the typically high price that large companies can afford.

Because of its high cost this outsourcing option could never be considered by the SME community. It also required an in-house IT expertise to provide a supervisory overview over the technology infrastructure partner which, unless that was their area of expertise, most SMEs did not and still do not have. But then it must be observed that it is not uncommon to find SMEs that are IT adverse and who would only use an application if there is a clear business need. So it would not have been uncommon less than 10 years ago to find very successful small to medium sized companies using primitive spreadsheet technology on a stand alone desktop basis to run their businesses while showing no interest in seeking out applications that would bring clear productivity improvement benefits. In fact it can often be easier for SMEs to hire two additional people to perform a manual process than to purchase a piece of software at a lower cost to the business and which would fit in to the current staffing structure.

My view is that the unknown element of software ownership may play a major factor in the decision making process. In particular, most software requires an upfront cost and then an annual maintenance payment for help and support. It may also require additional hardware and additional software to install and maintain so that the original piece of software can operate effectively. There may also be some upgrade costs several years in the future which at a certain stage are forced on the end user because support for the older version ceases to be provided. So what initially was considered to be, say, a one off £5,000 investment turns out to require a £10,000 initial investment and then annual outgoings of £2,000 for the life of the current version. Also, this would be before taking into account any extra personnel costs which even on a temporary basis is an important cost element which also raises the concern that should the personnel move on then it could potentially leave the company in an unpleasant predicament. So clearly there is the potential for enormous uncertainty with traditional software applications particular for organisations without the experience of software implementations.

The advent of the World Wide Web has had the effect of changing how software is delivered and more importantly on how it is priced. In fact combined with ever increasing broadband capacity and plunging hardware costs the web is having the effect of democratising software and making its benefits available to a much broader audience.

Let me paint an alternative picture to the traditional software route. How about taking the previously mentioned software pricing scenario and turning it on its head by saying that a similar hosted application would cost the customer an all-in flat rate of £1,750 per year on an ongoing basis and that all maintenance, hardware cost and upgrades would be included in that figure and managed externally in its entirety by the software provider. So effectively the customer is receiving a very straight forward proposal with no surprises down the road.

How is that possible? Well from an infrastructure perspective we are looking at holding multiple copies of the software on the same server thereby spreading its cost over a broader user base while at the same time making more efficient use of the equipment. Then with similar versions and configurations of the software being available for all customers, the task of maintaining and updating is greatly simplified again spreading what is ultimately a lower cost per account over a broader user base. Finally, by concentrating on the absolute necessities rather than on building additional “wow features” which are only used by a minority of customers we can reduce the complexity and thereby the cost of developing and maintaining the software which has a snowball effect across the broader user base.

This all means that hosted software provides a more pleasing experience to the customer both from a usability and a pricing perspective.

The firm’s employee labored to consolidate information from multiple accounting, inventory, and project management systems.  The new chief executive officer wanted to bring all these disparate systems together-and he wanted the job done quickly.  He set an aggressive time frame, with the first deliverables due in three months and project completion scheduled in less than six months.  “Businesses want quick solutions.  That’s why we developed a standard methodology and why we look for solutions that can be implemented in a relatively short time,” says Craig Sommerfield, a Partner at Omnios. 

Trade-Show Vendor Desired Easier Tracking of Complex Jobs

Another company, a trade-show services vendor overwhelmed by rapid growth, turned to Omnios for help in refining its systems.  The vendor found itself unable to effectively manage the 9,000 jobs a year it was accepting, some of which were worth more than U.S.$1 Million.  The company dealt with everything from the labor and materials costs of moving huge display booths across the country to purchasing furniture and T-shirts for its clients.  Furthermore, the vendor used three separate systems to handle job-related information, billing, financials, and payroll.  Because of these issues, the company asked Omnios to help revamp its processes.

Public Relations Firm Sought to Improve Business Processes

A public relations (PR) firm also contacted Omnios for help.  The PR firm was using multiple software programs and time-consuming manual processes to prepare client billings.  Employees would spend hours re-entering data and handling administrative details-time that could have been spent on revenue-generating activities.  To track work hours, the staff used one program, which exported the data into Microsoft Excel for processing.  Staff members would then import that information to Microsoft Word when they prepared invoices.  Because of these disparate programs, the entire billing process took weeks.

Solution

Omnios began developing solutions for the three firms by reviewing each client’s needs, goals, and objectives to determine an appropriate recommendation.  Omnios typically creates a profile of an individual client’s requirements and uses the flowcharts in Microsoft Visio drawing and diagramming software to clarify how the company’s business processes work.  Omnios then develops a customized plan for each client.  “We don’t just roll up our sleeves and start doing things,” says Silver.  “We take the time to make sure our targets are right.”

Omnios used Microsoft Dynamics SL to serve all three companies.  Although each customer presented different requirements, Omnios found that Microsoft Dynamics SL met their numerous needs.  “Our clients want a solution that can adapt to their business environments-not one that requires them to change their practices to fit a particular software application,” says Sommerfield.  “The flexibility offered in Microsoft Dynamics SL means we can offer a tailored solution without having to write a lot of custom code.”

Bringing Systems Together Quickly

Implementing Microsoft Dynamics SL helped Omnios bring together the marketing services firm’s various accounting, inventory, and project management systems within the tight deadlines required.  Omnios deployed a new financial accounting system within two-and-a-half months.  Within four months of deployment, Omnios had the project accounting tools in place.  Now, different divisions of the marketing services company are not only able to work collaboratively on projects, but they can also view project and financial information in real time.  Costs can be tracked against projects, and the revenue and bills for each project can be assigned independently of each other.  Microsoft Dynamics SL also provides the company with a centralized billing system.

Extending Value Through Custom Applications

For the trade-show services vendor, Omnios installed modules for financial management, distribution, and professional services automation.  Omnios also recommended some customizations.  The Microsoft Dynamics SL Technical Center wrote the customizations by using Tools for Visual Basic development system, a module within Microsoft Dynamics SL that provides a development foundation for building complete line-of-business applications.  The customizations included:

  • A job-entry application to make it easier to set up projects, showing the budgets, contracts, and billing information tied to each project.
  • A transportation module for freight and handling transactions that automates billings and releases the entries to purchase order, accounts payable, and project management systems.
  • An enhancement to the Project Allocator in Microsoft Dynamics SL to simplify assigning costs and revenues to complex projects.

The open architecture of Microsoft Dynamics SL not only made it possible to integrate the solution into the client’s existing Microsoft infrastructure, but it also made it easy to add new applications.  “One of the chief advantages of using this solution is that it’s from Microsoft,” says Sommerfield.  “Most companies are already using Microsoft SQL Server for database storage, so it’s easy to add Microsoft Dynamics SL on top of it and use industry-standard tools for customization.”

Microsoft Dynamics SL simplified serving customers in other ways, too.  For example, in the past, the trade-show vendor had difficulty tracking items-such as chairs or T-shirts purchased on be half of the client-and assigning them to particular projects.  Now, with the implementation of Microsoft Dynamics SL, it can track and assign items easily.  In addition, the company’s Web site was updated to allow its clients to view their inventory and place orders.  At the time of implementation, no other trade-show vendor offered that service.

Simplifying Billing Processes and Reporting

For the PR firm bogged down with a complicated billing process, Omnios suggested integrating the billing and project accounting systems using Microsoft Dynamics SL.  Initially, the client had considered a custom solution, but the company ruled that out when it discovered that it could achieve the same benefits of integration with Microsoft Dynamics SL at less than half the cost of the custom solution-and it could deploy the solution in about a year.

The Microsoft Dynamics SL solution linked the accounts payable, accounts receivable, and billing systems together, thereby eliminating the need to re-key and manipulate information in separate programs.  In addition, Omnios installed a module to evaluate staffing and developed five custom reports to provide detailed fee and revenue comparisons by project.  The reports also help break down internal costs and invoice types-such as fixed-fee, time-and-materials, cost-plus, or not-to-exceed billings-to help the company gain insights into which billing arrangements are most profitable.

Omnios integrated the Microsoft Dynamics SL solution with Microsoft Windows Small Business Server and Microsoft Office, too.  Now, all employees can run project-tracking reports and analyze materials from their desktops.  They can also export reports to Excel for distribution across the organization.

Benefits

You could NOT upgrade the video card and those games will run fine.

9500 is junk… get something at least a bit better….

If you are going to go the Vid Card upgrade route, I’d get a mobo that doesn’t have a built in vid card and also buy a better power supply in case you decide to SLi.

What i should look for in a laptop?

i’m thinking of buying an hp laptop and i was wondering if 1.3 GHZ and 3 cache is alot and if i wanna use microsoft word, powerpoint, and excel what kind of productivity software should i get, microsoft works 9.0 ,
Corel Home Office, Microsoft (R) Basic 2007, microsoft (R) Office Home and student, Microsoft (R) Office Small Business 2007, or Microsoft (R) Office Professional 2007?

I suggest you to try free office suite, which is not worse than MS office.

It is Open Office. It also contain Word, Excel and Power Point and the difference in GUI is not critical, I mean they look familiar.

All across the nation, employees and their companies are figuring ways to invade others privacy. The laws are not clear as to the definition of employee privacy, which opens the doors to abuse by employers and general public.
Even though useful software exists, some employers still prefer the traditional methods of surveillance. Methods such as eavesdropping on phone calls, recording are still being used in all types of business.
Workplace surveillance can benefit the employer in many cases it can even have a benefit for the employee. Theft in the workplace is a common reason for workplace surveillance, which can often mean losses to the company, and thusly losses to the employer in terms of benefits such as security as well. Most of these negative aspects involve privacy, de-motivation, and stress.
“Internet surveillance” is the active surveillance of user’s Internet activities. When users operate a computer on the Internet activities, a record of sites that were visited and the operations that were performed by the user can be generated by Internet surveillance software. Also known as spyware, this software is able to track the user’s activities and report this to the employers with various techniques.
“Desktop surveillance” on the other hand, works by the employer’s computer intercepting a signal that given off by the employee’s computer. That is done through specific surveillance software that could be remotely or physically installed on the employee’s machine. *When people use a computer that belongs to their employers, the employer has a right to monitor what their employer do with the computer. The employer doesn’t want to risk being held responsible if an employee uses that come to mind are drug dealing, child porn, predator, stalker, So just to name a few.
Video surveillance cameras for the company, they can monitor and make sure nobody is wasting the company time this can also enable a company to see where they can lose people, thus reducing their expenses, and improving the bottom line. A business can benefits from video surveillance in many ways. [1]CCTV acts as a deterrent from theft by both staff and external people. [2]CCTV provides evidence of crime regardless if committed by staff or people visiting, this can defend staff also. In some circles this is called LOSS PREVENTION.
Most disadvantages of video surveillance in the work place relate to the issue of those who are worried about being under surveillance. This means staff & even management who may feel their civil liberties are under threat or do not want to be discovered doing something they shouldn’t. The uncomfortable feeling that someone is watching making you feel that you must be doing something is bad enough for some people. Even those at the top of the company are at risk of being recorded doing something they shouldn’t.
The benefits seem to outweigh the disadvantages. In any cases, the company would only spend money on a surveillance system to the advantage of the company in order to save money, protected the business and everybody’s pay checks. Just my opinion, but I think any company that would treat its employees like criminals rather than valued assets gets what it deserves: higher costs, lower loyalty.
The morale is likely to be lower since employees may now be worried about communication with other employees. They may worry that communication may look like chatting and will thus minimize useful communication. Adding to the problems, companies may hire somebody who appeared to be wasting time and was actually working. This could mean future lawsuits. Also, the company has to go through the expense of more equipment with no immediate payback, and hiring of more individuals or a company to monitor these screens. Lower morale of the monitoring has the potential to backfire by reducing productivity and increased turnover and retraining issue that this causes.

uh… i decided i have better things to do within reading the first sentence… sorry. you need a more interesting way to grab the reader with the first sentence. in addition, at glance it appears that you randomly stopped the paper. you always need a proper introduction and conclusion along with the body of your work. sorry if i am insulting you, but many people do not understand how to write papers. in addition, are you citing your sources? i understand if you did not include them for this post, but i would suggest that you make sure you do that for the final paper to avoid plagiarism.
